2. The data we collect
We only collect the data we need. Depending on how you interact with us, this may include:
- Contact details — your name, email address, phone number and company name, when you complete our contact form, email or call us.
- Enquiry content — anything you choose to tell us in your message.
- Client and domain registrant data — if you become a client or register a domain through us: name, organisation, postal address, email address and phone number, as required by Nominet to register a .uk domain name.
- Billing data — invoices and payment records needed for our accounts. We do not store card details.
- Technical data — like most websites, our hosting provider automatically processes your IP address, browser type and the pages you request, to deliver the site and protect it from attacks.
We do not knowingly collect data from children, and we do not collect special category data.
3. How we use your data
- To reply to your enquiry and provide quotes.
- To deliver the services you have engaged us for, including registering, renewing and managing domain names.
- To send service messages such as domain expiry and renewal notices.
- To handle complaints and abuse reports.
- To keep financial records and meet our legal and regulatory obligations.
- To keep our website secure and working properly.
We do not sell your data, and we do not send marketing emails without your consent.
4. Our lawful basis
- Contract — where processing is needed to provide services you have asked for, or to take steps at your request before entering a contract (for example, responding to a quote request).
- Legal obligation — where we must keep records, for example for HMRC, or comply with Nominet registry rules.
- Legitimate interests — to answer general enquiries, keep our website secure and run our business, where these interests are not overridden by your rights.
- Consent — where you have given it, for example by ticking the box on our contact form. You can withdraw consent at any time.
5. Who we share it with
We only share your data with trusted service providers who help us run our business, and only as much as they need:
- Nominet UK — the .uk registry, when we register or manage a domain on your behalf. Nominet processes registrant data under its own policies.
- Cloudflare — hosts our website and protects it against attacks.
- Web3Forms — delivers messages sent through our contact form to our inbox.
- Zoho — provides our business email.
- Google Fonts — serves the fonts used on this website, which means your browser connects to Google's servers.
- Our accountant, bank and professional advisers — where needed to run the company.
- Authorities — where we are required to by law, or to protect our rights or the rights of others.
6. International transfers
Some of our service providers may process data outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Addendum to the EU Standard Contractual Clauses.
7. How long we keep it
- Enquiries that don't lead to work: up to 2 years, then deleted.
- Client and domain records: for as long as we provide the service, then up to 6 years to meet legal and accounting requirements.
- Financial records: 6 years from the end of the financial year they relate to, as required by HMRC.
8. Security
We use appropriate technical and organisational measures to protect your data, including encrypted (HTTPS) connections, two-factor authentication on our business accounts and restricted access to client information.
9. Cookies
Our website does not use advertising or analytics cookies, and we do not track you across other websites. Our hosting provider, Cloudflare, may set strictly necessary cookies to keep the website secure and protect it from bots. These do not identify you personally and do not require consent.
10. Your rights
Under UK data protection law you have the right to:
- access the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to delete your data;
- ask us to restrict how we use your data;
- object to our use of your data where we rely on legitimate interests;
- receive your data in a portable format;
- withdraw your consent at any time, where we rely on consent.
